Administrative Assistant

JOB DESCRIPTION
Job Summary: Under general supervision, assists with fiscal, technical, and administrative matters;
prepares and monitors budget in Quickbooks format; performs office administrative duties;
coordinates/provides clerical and secretarial services.
CHARACTERISTIC JOB TASKS AND RESPONSIBILITIES
May include any and/or all of the following job duties:

1.        Performs office administrative duties: prepares purchase orders; coordinates and monitors         
               maintenance services; serves as liaison between departments, faculty and staff.
2.        Prepares and monitors budget: prepares independently or directly assists in the preparation of
               department budget; monitors all budget and grant expenditures; makes budget allocations;
               develops and maintains bookkeeping system; prepares financial and administrative reports.
3.        Provides technical support; creates and maintains databases; develops spreadsheets.
4.        Coordinates and performs clerical/secretarial services: makes arrangements for events and
               meetings; composes and types correspondence; distributes mail; makes travel
               arrangements; screens telephone calls;
5.        Coordinates special projects as requested; performs other duties as assigned.

KNOWLEDGE, SKILLS, ABILITIES AND PERSONAL CHARACTERISTICS

•        Knowledge of Not- For Profit Grant policies and procedures
•        Knowledge of accounting and budgeting principles and methods
•        Knowledge of modern office equipment, troubleshooting, practices, and procedures
•        Interpersonal/human relations skills
•        Verbal and written communication skills
•        Proficient telephone skills
•        Planning and organizational skills
•        Ability to transcribe data, and compose and edit a variety of memoranda or letters
•        Ability to type and operate personal computer with various software programs including but not
               limited to Quickbooks, Excel, Power Point, Publisher
•        Ability to maintain confidentiality

MINIMUM QUALIFICATIONS
Education and experience equivalent to:
High school diploma or equivalent, supplemented with related administrative coursework. Two (2) years
administrative experience in increasingly responsible office operations is required.
